Entering Time Into Hourly Time Entry

The Hourly Time Entry form allows employees to enter their hourly time using time settings selected from drop-down lists. Employees use this page to specify when they clocked into work, when they left for lunch, when they returned from lunch, and when they clocked out. This page automatically calculates the total number of hours employees worked based on the start and end times they specify. This page also allows employees to specify one or more cost centers and wage codes for time worked and provide a description for their work hours.

To enter time into an Hourly Time Entry form, complete the following steps:

  1. Access the Hourly Time Entry form using Action>Time Entry.
  2. Note: The time entry form listed under the Actions menu item in EWS is based on the timesheet entry form defined for your employee ID in the HR Management module and EWS system settings. For more information about timesheet entry pages, see Working with Timesheets.

  3. On the calendar, specify a month and year for your time entry by selecting the appropriate month and year from the drop-down list. Then click on the appropriate day on the calendar to specify a day for your time entry.
  4. In the Clocked In field, select the time you began working from the drop-down list.
  5. In the Lunch from field, select the time you went to lunch from the drop-down list.
  6. In the Lunch to field, select the time you came back from lunch from the drop-down list. When you select the Lunch to field, EWS automatically refreshes the page and selects the Lunch Break Taken check box.
  7. In the Clocked Out field, select the time you finished working for the day from the drop-down list.
  8. If you are required to report on whether or not your went to lunch, select the Lunch Break Taken check box. For example, some grants require this information for reporting purposes. If you specify a time in the Lunch to field, EWS automatically selects this check box for you.
  9. Specify a cost center for your work hours by selecting the appropriate cost center from the drop-down list.
  10. The cost centers displayed in the drop-down list are the cost centers specified for the employee ID in the HR Management module. For more information about specifying cost centers for employee IDs, see the HR Management module online help.

  11. Specify a wage code for your work hours by selecting the appropriate wage code from the drop-down list.
  12. The wage codes displayed in the drop-down list are wage codes set up in the Payroll module then assigned to the employee ID in the HR Management module. For more information about specifying wage codes for employee IDs, see the HR Management module online help.

    Note: If the cost center and wage code you enter are not a valid combination, EWS will use the first valid cost center listed for you in the HR Management module and use the wage code associated with that cost center.

  13. Enter the number of hours worked into the appropriate row.
  14. Enter a description for the work into the appropriate row.
  15. Click the Save button to save your time entry.
