Working with Leave Requests

Approving Leave Requests

Access this page using Manager>Approve Leave Request> select the Approved check box.

When managers log on to EWS, they can see submitted leave requests for the employees they manage on this list for the current and future pay periods. They can also approve or reject these employee submitted leave requests over the web.

Note: When an employee submits a leave request, EWS sends a message to the employee's supervisor in the Message Center.

Employee/manager relationships are specified in the HR Management module. For more information about specifying managers for employee IDs, see the HR Management module online help.

To approve or reject employee submitted leave requests, complete the following steps:

  1. Access the Approve Leave Request page using Manager>Approve Leave Request.
  2. Note: If you do not see the Manager>Approve Leave Request option in EWS, you do not have Manager timesheet permissions specified for your employee ID in the HR Management module. For more information about Manager timesheet permissions, see Understanding Permissions.

  3. Select an employee ID with an active leave request, from the drop-down list.
  4. Optional, select the Include Past Requests to view all of the employees submitted leave requests and select the date from which you want to see past requests.
  5. Once an employee with an active leave request is selected, the page displays information in three areas:
  6. To approve or reject an employee submitted leave request, on the Leave Request table, select a leave request and click the Approved check box. The Leave Request page displays.
  1. Review the Leave Start Date, End Date, Leave Type, and Hours Requested. You can make edits to any of these fields.
  2. Select a Request Status from the drop-down list. Request Status can include Approved, Canceled, Hold, and Rejected statuses.
  3. Enter optional Notes if needed. The notes entered only display on the Manager>Approve Leave Request form.
  4. Click Save to save your changes.

Fields 

Leave Start Date: The system displays the start date. If you have Approver Edit permissions, you can modify this date.

End Date: The system displays the end date. If you have Approver Edit permissions, you can modify this date.

Leave Type: The system displays the leave type. If you have Approver Edit permissions, you can modify this information.

Request Status: Accept the default status of Request or select from the drop-down list to change the status of the request. You must select Rejected to reject the leave request.If you have Approver Edit permissions, you can modify this information.

Hours Requested: The system displays the hours requested. If you have Approver Edit permissions, you can modify this information.

Manager Notes: Enter any notes about the leave request. This is optional. The note entered only displays on the Manager>Approve Leave Request.

Buttons 

Save: Click this button to Save your approval or rejection of the employee’s submitted leave request. The employee automatically receives a message which identifies the status of their leave request. The leave request will be displayed on the employee's Schedule and on the Leave Request form.

Cancel: Click this button to not save your leave request approval changes and return to the Approve Leave Request page.
