Entering Time Into Clock In/Out Time Entry

The Clock In/Out Time Entry forms (II and V) allows employees to enter their time using a punch clock. When employees click the Clock In, Clock Out, Lunch and Return buttons, EWS automatically calculates the total number of hours worked based on the start and end times specified by employees. If the EWS system administrator specified in EWS system settings that this form display unpaid break fields, employees can also specify their unpaid breaks in the Break 1 and Break 2 fields. This page also allows you to specify one or more wage codes and cost centers for time worked.

Note: EWS calculates and displays punch clock time based on the local system time of the server where EWS is installed. For example, assume that EWS is installed on a computer located in the Eastern Standard Time (EST) zone and you work in an office in the Central Standard Time (CST) zone. If you clock in at 8:00 a.m. CST, EWS displays your clock in time as 9:00 a.m. EST.

To enter time into Clock In/Out Time Entry form II, complete the following steps:

  1. Access the Clock In/Out Time Entry form using Actions>Time Entry.
  2. Note: The time entry form listed under the Actions menu item in EWS is based on the time entry form defined for your employee ID in the HR Management module and EWS system settings. For more information about timesheet entry pages, see Working with Timesheets.

  3. Specify a wage code for your work hours by selecting the appropriate wage code from the drop-down list.
  4. The wage codes displayed in the drop-down list are wage codes set up in the Payroll module then assigned to the employee ID in the HR Management module. For more information about specifying wage codes for employee IDs, see the HR Management module online help.

  5. Specify a cost center for your work hours by selecting the appropriate cost center from the drop-down list.
  6. The cost centers displayed in the drop-down list are the cost centers specified for the employee ID in the HR Management module. For more information about specifying cost centers for employee IDs, see the HR Management module online help.

    Note: If the cost center and wage code you enter are not a valid combination, EWS will use the first valid cost center listed for you in the HR Management module and use the wage code associated with that cost center.

  7. If you want to enter a description for your work, enter a description for your work in the Work Description field. If you want to enter a work description, make sure you enter your work description before you clock out. If you clock out and then enter a work description, EWS does not save your work description.
  8. Click the Clock In button. EWS displays your clock in time in the Clocked In field. If you are entering your time using a Clock In/Out form on a shared computer, click the Logout button after you clock in. The Logout button only displays if you are using a Clock In/Out form and you use EWS to only enter your time. For more information, see Clock In/Out.
  9. If you need to go to lunch, click the Lunch button to clock out for lunch. EWS refreshes the page and displays the time you clocked out for lunch in the Lunch from field. If you are entering your time using a Clock In/Out form on a shared computer, click the Logout button after you clock out for lunch. The Logout button only displays if your are using a Clock In/Out form and you use EWS to only enter your time. For more information, see Clock In/Out.
  10. If you clocked out when you went to lunch, click the Return button when you return from lunch to clock back in. EWS refreshes the page and displays the time you returned lunch in the Lunch to field. If you are entering your time using a Clock In/Out form on a shared computer, click the Logout button after you clock back in from lunch. The Logout button only displays if your are using a Clock In/Out form and you use EWS to only enter your time. For more information, see Clock In/Out.
  11. If unpaid break fields display on the page and you took an unpaid break, specify your break time by selecting the appropriate times from the drop-down lists in the Unpaid Break 1 and Unpaid Break 2 fields. If you are entering your time using a Clock In/Out form on a shared computer, click the Logout button after you clock in or clock out for breaks. The Logout button only displays if your are using a Clock In/Out form and you use EWS to only enter your time. For more information, see Clock In/Out.
  12. Note: Unpaid break fields only display on Clock In/Out Time Entry Forms if the EWS system administrator selected the With OT & Unpaid Breaks setting for the Clock In/Out Time Entry Form option when configuring EWS system settings.   13. When you are finished with your work, click the Clock Out button. EWS refreshes the page and displays the time you clocked out in the Clocked Out field. If you are entering your time using a Clock In/Out form on a shared computer, click the Logout button after you clock out. The Logout button only displays if your are using a Clock In/Out form and you use EWS to only enter your time. For more information, see Clock In/Out.

To enter time into Clock In/Out Time Entry form V, complete the following steps:

  1. Access the Clock In/Out Time Entry form using Actions>Time Entry.

  4. If you need to go to lunch, click the Lunch button to clock out for lunch. EWS refreshes the page and displays the time you clocked out for lunch in the Lunch from field. If you are entering your time using a Clock In/Out form on a shared computer, click the Logout button after you clock out for lunch.   5. If you clocked out when you went to lunch, click the Return button when you return from lunch to clock back in.   6. If unpaid break fields display on the page and you took an unpaid break, specify your break time by selecting the appropriate times from the drop-down lists in the Unpaid Break 1 and Unpaid Break 2 fields.   11. Specify a wage code for your work hours by selecting the appropriate wage code from the drop-down list.

  13. Enter the number of hours worked for the specified Cost Center and Wage Code.
  14. If you want to enter a description for your work, enter a description for your work in the Work Description field. If you want to enter a work description, make sure you enter your work description before you clock out. If you clock out and then enter a work description, EWS does not save your work description.
  15. If you want to enter additional Cost Center and Wage Codes, click Add to create an additional row.
  16. Be sure to click Save to record your information.
