Editing Employee Time Punches

If an employee enters time using a Punch Clock Time Entry form and forgets to clock out for the day, their manager can edit and close the open employee time punch. An open employee time punch is a time punch where an employee has not specified a clock out time. Time punches only display in the Edit Time Punches form if an employee used a Punch Clock Time Entry form to enter time, and the employee has not clocked out for the day. For more information about Punch Clock Time Entry forms, see Punch Clock Time Entry and Entering Time Into Punch Clock Time Entry.

In order to edit open employee time punches, you must be specified as the employee's manager in the HR Management module. Your employee ID must also have Manager timesheet permissions specified in the HR Management module. For more information about specifying managers for employee IDs and specifying Manager timesheet permissions, see the HR Management module online help.

To edit an employee time punch, complete the following steps:

  1. Access the Edit Time Punches form using Manager>Edit Time Punches.
  2. Note: If you do not see the Manager>Edit Time Punches menu option in EWS, you do not have Manager timesheet permissions specified for your employee ID in the HR Management module. For more information about Manager timesheet permissions, see Understanding Permissions.

  3. In an employee row, click in the field with the time entry you want to edit, and then enter in your changes. For example, if you want to edit the time in entry, click in the Time In field and then enter in your change. If you want to edit the time out, click in the Time Out field and then enter in your change.
  4. Note: You can edit all of the fields on the Edit Time Punches form except the Employee, Work Date, and Status fields.

  5. Click on the button in the Clock Out field when you finish editing the employee time punch. When you click this button, EWS saves your time punch edits, closes the time punch, which means the time punch is no longer open or active, and no longer displays the time punch in the Edit Time Punch form.
  6. Note: If you later want to make additional edits to a closed employee time punch, you can use the Approve Timesheets form. For more information about the Approve Timesheets form and approving timesheets, see Approve Timesheets and Approving Employee Timesheets and Expenses.

  7. Click the Save button to save any changes you made to employee time punches.
